EDI Cost Calculator & Provider Comparison

EDI can cost $29/month or $1,500/month. The difference is not always quality: it is volume, integration depth, and how much hand-holding you need. This page lists every major provider with real published pricing, then calculates your true Year 1 cost including setup, integration, GS1 registration, and internal labor. No sponsorships. Watch out

Hidden cost warning. A low monthly fee can hide per-kilocharacter billing, VAN fees ($100-500/mo extra), per-trading-partner setup fees, and spec maintenance charges when retailers update their EDI guides. EDI Generator and Orderful Web EDI publish all-in pricing. Most others require a direct quote to see the full picture. Always ask: what happens when Target or Nordstrom updates their implementation guide: is that included at no extra charge?

How the Year 1 estimate works

  • Platform: DIY tier $80/mo flat; web EDI $189/mo per trading partner (all partners, current plus new); mid-market managed $350/mo; full-service $900/mo.
  • Setup: per new partner onboarded this year: $0 (DIY, web EDI), $1,500 (mid-market), $2,500 (full-service).
  • Integration (one-time): baseline Shopify $500, QuickBooks / Xero $800, NetSuite $3,000, custom ERP $8,000, scaled by tier (DIY x0.1, web EDI x0.3, mid-market x1.0, full-service x1.5).
  • GS1: annual fee by SKU count: up to 10 SKUs $250, up to 100 $750, up to 1,000 $1,050, more $1,500.
  • Labor: monthly management hours x 12 plus setup hours per new partner, at your staff rate. Year 2+ drops setup and integration.

Choosing a tier

  • DIY: self-setup, message-based pricing. Works for technically capable teams under 100 documents a month. Overages cost $1-2 per additional document.
  • Web EDI per partner: the most predictable model for small brands, with unlimited transactions per partner and no setup fees.
  • Mid-market managed: the provider handles technical setup. Budget $1,000-2,000 setup per new retailer. Monthly cost beats per-partner pricing at 4-5 retail accounts.
  • Full-service: includes spec maintenance when retailers update their implementation guides. Common choice for brands with 3+ national chains.
